How To View Retiree Counts - Updated 11/16/2007

The following document contains information regarding how to view retiree counts. Instructions about who may view them, when they can be viewed, how they can be viewed, and other information is documented here. This document includes information about the following:

What are retiree counts?

The plan year retiree count is the total number of unique covered retirees for the entire application plan year.  The monthly retiree count is the number of unique covered retirees for a given month.

The plan year and monthly retiree counts are calculated from the approved retiree subsidy periods for an application.  They represent the number of unique retirees having subsidy in a given month or plan year. 

When can monthly retiree counts be viewed?

Monthly retiree counts may be viewed after retirees have been approved for subsidy by CMS' RDS Center.  The application status must be "Approved" or "Approved Appeal" status.

Prior to reconciliation, the retiree counts are refreshed on a daily basis and reflect the most recent retiree data derived from the retiree response file and weekly notification files.  For more information about the impact of reconciliation on the retiree counts, go to:  How To Complete Step 4: Finalize Covered Retirees.

Who may view retiree counts from the Manage Retirees page?

Account Managers, Authorized Representatives, and Designees with the Retiree Data privilege may view the counts.

Why should retiree counts be reviewed?

The retiree counts are used to validate cost data for an application. If the Plan Sponsor does not agree with the retiree counts, a covered retiree list should be requested to use for comparison against the Plan Sponsor's internal records of beneficiaries, benefit options, and subsidy periods.  For more information about requesting a covered retiree list, go to: How To Request Covered Retiree Lists.

How does the Plan Sponsor view the plan year and monthly retiree counts?

  1. Log into the RDS Secure Web Site.

  2. The Plan Sponsor List With Application Summary page displays.

  3. Select the appropriate Plan Sponsor ID link.  The Application List page displays.

  4. From the Application List page, find the Application Number to view. Select Manage Retirees from the Actions dropdown and select Go.

  5. The Manage Retirees page displays.  Select Display Current Covered Retiree Counts to view the plan year retiree counts for this application.

  6. The Current Covered Retiree Counts page displays.

  7. Select View Monthly Counts to view the unique retiree counts per month on the Benefit Option Monthly Retiree Count page.
